User Data Deletion

Effective Date: January 1, 2026


ChatBiz ("we", "us", or "our") values your privacy and rights over your personal data. In compliance with the General Data Protection Regulation (GDPR), the California Consumer Privacy Act (CCPA), and Meta Platform Policy, we provide the following instructions for users who wish to delete their data from our SaaS platform.


1. Data Deletion Rights

As a user of ChatBiz, you have the right to request the deletion of your personal data stored on our servers. This includes:

  1. Your account profile information (Name, Email, Phone Number).
  2. Your business configuration settings.
  3. Connected WhatsApp Business API tokens and credentials.
  4. Uploaded contacts and message history logs.

2. How to Request Data Deletion

You can request the deletion of your data through one of the following methods:

Method A: Automated Removal via Facebook (Meta) Settings

If you used Facebook Login to create your account or connected your WhatsApp Business Account via Facebook, you can remove our app and trigger a data deletion request directly through Facebook:

  1. Log in to your Facebook account.
  2. Go to your Settings & Privacy > Settings.
  3. Scroll down to Apps and Websites.
  4. Find and select the app "ChatBiz".
  5. Click the Remove button.
  6. Once removed, you will see an option to "View Removed Apps and Websites". Click on ChatBiz again and select "Send Request" to trigger the automated data deletion callback to our servers.


Method B: Manual Request via Support

If you did not use Facebook Login or prefer to contact us directly, follow these steps:

  1. Send an email to our Data Protection Officer at contact@chatbiz.net.
  2. Use the Subject Line: "Data Deletion Request - [Your Business Name]".
  3. In the body of the email, please include your registered email address and phone number.

We will process manual requests within 7-14 business days and send you a confirmation email once your data has been permanently purged.


3. What Happens After Deletion?

Once your deletion request is processed:

  1. Account Access: You will lose access to the ChatBiz dashboard immediately.
  2. Service Termination: All active chatbots, automation flows, and scheduled bulk messages will stop functioning.
  3. Data Wiping: All personal data, contact lists, and chat logs associated with your account will be permanently deleted from our primary databases.
  4. Backup: Data may remain in our encrypted backup archives for up to 30 days, after which it will be overwritten.


4. Exceptions to Deletion

Please note that we may retain certain data if required by law or for legitimate business purposes, such as:

  1. Billing Records: Transaction history and invoices must be kept for tax and accounting purposes (usually for a minimum of 5-7 years).
  2. Security Logs: IP logs related to security incidents or fraud prevention.
  3. Legal Compliance: Data required to comply with a legal obligation or court order.
